Minutes of the A.G.M. held at Shipley Northcliffe G.C. on 9th September 2021 at 1520hrs.

Secretaries report:-
Thanks need to be said to Pete Ferris for his efforts in keeping the society together during the rest of the season in 2019, it’s much appreciated.
We have manage to transfer the funds in the society account and there is a treasurers report to follow which shows a nice healthy balance.
After a difficult 2020 with the season being cancelled, I’m really pleased to announce that the society has a huge 50 names on the mailing list and this year we have averaged 18 turning out at each event. I’d love to see more turning out next year and I’m positive we can achieve it.
It was a great relief to have the understanding of golf clubs who allowed us to transfer our bookings together with our deposits forward to 2021 and I have to place thanks to them on record.
Given the way the season started with lockdowns, phone calls with clubs and the postponed game at Howley Hall in April it was difficult to remain positive that all games would go ahead however thankfully they did and we’ve had some cracking days out which have been well attended. I’d like to say thanks to all of you who have participated and supported the society throughout the season, it really has made taking on the running of it all worth while. Thanks also for the replies to my emails, getting commitment or even apologies makes organising so much easier as it allows me to liaise with the clubs in a more organised way.
Moving into 2022, I’m happy to carry on the role of the secretary on the understanding you will all continue as you have in responding to my emails etc.
One item on the agenda is the website and whether we are to continue using it? Next season there will be a charge to the society of £50 for the use of the server to keep it up and running. I want to ask that if we are to keep it then can you use it for the information required regarding the fixtures etc. I spend personal time updating those fixtures together with the scores & handicaps to save me having to answer individual texts and emails but I do get quite a few from some people. Please save the website as a bookmark or into favourites or even add it to your home screen so that you have it to hand easily enough.
Finally I want to say well done everyone who won a prize throughout the season and especially well done to all the trophy winners, who are added below in the minutes.
I hope to see you back next year to try and retain them and maybe even win more.
Tresurers Report:-
This year’s report covers the period November 2019 to August 2021.
Following the demise of Mel Smart, we are grateful to Pete Ferris for obtaining the society funds from his family amounting to the sum of £950.22 which is shown as the Opening Balance in the attached financial report.
These funds have been used to secure our society day bookings with deposits, so our Closing Balance remains the same in the Nat West Society bank account is £950.22.
As the society had sufficient funds for its operation the committee took the decision to suspend the membership fee for this period. Going forward, the Society will incur £50 cost per annum to cover the website that was kindly developed by Ian Dyson, so we might need to reintroduce a small membership fee.

Captains Report:-
The Captain said he’d thoroughly enjoyed his year and thanked everyone for their support particularly on his captains day at Woolley Park.
He expressed thanks to the secretary and was grateful for the super job he’d done in the organisation of the season.
Finally he wished Dave Colley all the best for his season as captain in 2022.

Handicaps:-
With 6 different winners of the 8 trophies up for grabs this season, perhaps showing some proof the handicap system works giving everyone a fair chance, It was decided that the current handicap system would remain in place and will be reviewed at the next A.G.M.
It was agreed by vote of 10-2 that there will be NO handicap reset for those with a WHS handicap at the start of 2022.
Website and Fee’s :-
It was decided the website will remain active and the cost for the server to run it will be paid for by a £5 subscription fee by each member on their first visit of the 2022 season. Any surplus monies above the required £50 will be placed in the society bank account for future use.

Any Other Business:-
It was agreed that ALL winners of trophies would pay for engraving themselves. This is due to the fact there there are no membership fees for members other than the previous mentioned £5 for the running of the website.
There will be a return in 2022 to the Order of Merit competition with the best 5 scores throughout the season counting towards the final standings. Points will be awarded to the top 12 players at each venue with 12 points being awarded to the winner counting down to 1 point for the 12th placed person. Players below 12th place will not be awarded any points.
A Christmas fixture may be viable but will be subject to a late call because of weather etc.
A pre season fixture was agreed taking place at Ilkley golf club in late March to take advantage of their winter offer.
The chairman thanked everyone present for their input and the meeting closed at 1602.
